I was thinking about giving guidelines on Sharing and Collaborating in Apple Notes. It works well, except I've had issues with 2 notes that are linked to each other and shared this way. The links sometimes wouldn't work, at least not all the time. Does anyone have experience sharing notes from their Forever ✱ Notes setup? How do you handle sharing notes so far?
Here's a short overview of this component:
Benefits
- one place to manage shared notes for individuals or teams
- share and unshare multiple notes at once
- better overview of shared notes, not just one long list of all shared notes
- ability to link to folder of shared notes from ✱ Home
- works with individuals and teams
Create shared folder
Create new “regular” folder
Add name of person or team you’d like to share notes with
the other person can rename the folder to your name once they accepted the invitation
Tap small Ellipses icon, then Click “Share folder”
Choose people from list or create link (you still have to add people) before you can share the link
Set permissions
Track activity and changes
Un-Sharing
How tags work in shared notes
When a shared note contains tags, their behavior depends on the collaborator's setup:
If the tag already exists in their Apple Notes, it appears as an active tag
If the tag doesn't exist in their setup, it appears as grayed-out text
The tag becomes active (yellow) once they use it anywhere in their notes
How links work in shared notes
Best practice
Watch out for the Shared icon beside the folder
Link from ✱ Home, simply click small shared icon, then “Copy Link” and add it to ✱ Home
a folder can only be either shared or collaborated on, if you need more granular settings, create 2 folders, e.g. Lukas (Collaboration) + Lukas (Share)
