I’ve been deep in the weeds of reorganizing my ForeverNotes setup, and I wanted to share something that’s been a total game-changer: using AI to help clarify and build out my hubs, sub-hubs, and collections.
ForeverNotes is such a powerful tool, but like many of you, I found myself collecting a ton of information—and eventually hitting that point where it felt cluttered, overlapping, or hard to navigate. I knew I needed a more intentional structure, but it was hard to zoom out and see the patterns on my own.
That’s where AI came in. I started by describing what I had—buckets of notes, loosely grouped—and asked AI to help me sort through it. The results were incredibly helpful. It didn’t just clean things up; it gave me new ways to think about the relationships between my notes. I could better distinguish between:
• Hubs – foundational areas of focus that deserve their own structure
• Sub-Hubs – logical divisions within a hub that need their own space to grow
• Collections – grouped notes that don’t require deeper breakdowns (yet)
For example:
• Health Hub: This started as a huge collection of notes about labs, supplements, workouts, symptoms, etc. AI helped me see that it really needed to be its own hub, with sub-hubs like:
• Exercise (tracking routines, goals, physical therapy)
• Labs + Metrics (glucose, cholesterol, hormone levels, etc.)
• Supplements (organized by goal, type, or protocol)
• Medical History (procedures, surgeries, timelines)
• Business Hub: This was another big category that needed refinement. I broke it out into:
• Clients (one note per client, with nested tasks and notes)
• Offers (organized by active, archived, or in development)
• Content Library (articles, posts, swipe files, prompts)
• Internal Systems (SOPs, workflows, tech stack)
What surprised me most was how AI pointed out redundancies—places where I had overlapping content in different notes—and helped me consolidate. It also helped me identify missing links or places where I could add reference notes or overviews to make navigation smoother.
Another bonus: it’s made my weekly review process so much easier. I can now quickly zoom into a hub, skim high-level notes, and make fast decisions without wading through noise.
